Building Use Guidelines

By agreeing to this document when filling out an event reservation request form, you are agreeing to follow these guidelines and any other specified by building staff.

Serving Food/Beverages at Bethlehem Events

Kitchen Use

To obtain permission to be in the kitchen for any reason, you must ...

  1. Receive prior permission from Downtown Kitchen Coordinator Brenda Remus (612-455-3441, work; or 763-521-9478, home); or North Kitchen Coordinator Molly Johnson (612-455-0800 x869).
  2. Have been trained by kitchen staff to use the kitchen.

Events That Do Not Use Kitchen

You may serve the following in approved rooms without access to the kitchen: Coffee, beverages without red dye, treats (cookies, popcorn, etc.), sack lunches, and take-out food. You must supply your own paper products (cups, plates, napkins, plasticware, etc.). Dispose of paper products and any leftover food in the receptacles provided. (Do not put liquids into the garbage cans. Liquids must be disposed through appropriate drains.)

Children and Childcare

We strongly urge parents to arrange for their own childcare at home. In the cases of a larger event, those planning events may be able to arrange to use a church nursery or Sunday School classroom for childcare as outlined below. An adult must supervise children in the building at all times. All adults who have children in the building agree to follow the brochure on Behavioral Guidelines for Children & Youth at Bethlehem Baptist Church.

Events That Do Not Require Nursery

If off-site care is not possible, a small number of children (5 at most) may be cared for by a parent or caregiver in the room where the event is taking place, or other room approved by the Properties Administrator. Church-owned toys, books, and equipment, are not available and should be supplied by the group planning the event. Adults present are responsible to see that children stay in the room and do not disrupt other events, climb on furniture, color on carpet or walls, or otherwise damage church property.

Nursery and Childcare Areas

Any use of nursery and other childcare rooms must have prior approval from the Coordinator for Early Childhood, Joyce Heinrich (612-338-7653 x498) or Pastor Bud Burk (612-338-7653 x486).

With the exception of church-wide events, childcare will not be arranged by the church for those planning events. A list of trained caregivers (who may be available for hire) will be provided upon request. At least one (1) Bethlehem-trained caregiver must be present to oversee any volunteers or workers. With the exception of church-wide events, those planning the event (sponsors) are responsible for paying any hired workers at the end of the event. If those planning events at Bethlehem are not able to arrange for the childcare recommended by the Coordinator for Early Childhood, they will not be permitted to provide childcare at Bethlehem during the event.

Fees

Building-use fees will be charged to some groups to cover costs related to events that are not in the church budget. The fee, if necessary, will be quoted at the time the reservation is made. It is to be made payable to Bethlehem after the event is confirmed and must be received at least one week prior to the event. It may be refunded if the event is cancelled.

Unforseen Circumstances

Bethlehem will make every effort to honor agreed-upon arrangements for approved building events. However, funerals, equipment failures, and other unforeseen circumstances may affect on-site parking or room assignments. We also reserve the right to close the building to all events during inclement weather. We will notify you as soon as possible when decisions affecting your event are made. It is your responsibility to notify attendees of changes.
